Client Confidentiality and AI Ethics
Vortolo Client Confidentiality & Responsible AI Framework
Version 2.0 | October 2026
Reviewed periodically to reflect changes in technology, professional practice and applicable regulation.
Our Commitment
At Vortolo, trust is fundamental to effective communication work.
Clients share sensitive business information, strategic challenges, personal concerns and sometimes difficult professional relationships. Protecting that information is an essential part of our responsibility.
Artificial intelligence can strengthen preparation, challenge assumptions and create opportunities for more effective learning. But its use must be purposeful, transparent and proportionate.
Our principle is simple: technology should strengthen human judgement, never replace professional responsibility.
1. Confidentiality Comes First
Information shared during a Vortolo engagement is treated as confidential and used only for agreed professional purposes.
- Client information is not disclosed to unrelated third parties without appropriate authorisation or another lawful basis.
- Confidential business strategies, unpublished materials and sensitive personal information receive particular care.
- Non-disclosure agreements can be established where required.
- Client examples are not used publicly without permission.
Confidentiality applies equally to traditional consulting methods and AI-assisted work.
2. Transparent and Responsible AI Use
Vortolo may use AI to support communication strategy, message development, presentation preparation, research and realistic conversation simulations.
Where AI forms a meaningful part of an engagement, clients are informed about its purpose and how it will be used.
We distinguish between AI used for general professional preparation and AI processing confidential client information.
Sensitive client information is not submitted to external AI services without appropriate safeguards and authorisation.
Clients can discuss specific restrictions or request a non-AI approach.
3. Data Minimisation and Protection
We follow a data-minimisation approach: use only the information necessary for the task.
Depending on the sensitivity of the material, safeguards may include:
- Removing names, personal identifiers and commercially sensitive details
- Replacing identifiable information with fictional or generic scenarios
- Restricting access to relevant working materials
- Selecting appropriate tools and privacy settings
- Using local AI processing where suitable and technically available
Anonymisation and pseudonymisation are not treated as interchangeable. Information that could still identify a person or organisation remains subject to appropriate protection.
4. AI Tools and Third-Party Services
AI platforms differ in their data handling, retention policies, security controls and contractual protections.
Vortolo assesses tools according to their intended use and the sensitivity of the information involved.
We consider:
- How information is processed and stored
- Whether submitted data may be used for model training
- Available privacy and retention controls
- Relevant contractual and security protections
- Whether a lower-risk or non-AI alternative would be preferable
No AI platform is assumed to be confidential or secure simply because it is widely used.
5. Human Oversight and Professional Accountability
AI may support analysis, preparation and rehearsal, but professional responsibility remains with Vortolo.
AI-generated suggestions are assessed for accuracy, relevance, fairness and suitability before being incorporated into client-facing work.
We do not treat AI-generated assessments of individuals, intentions or interpersonal dynamics as established facts.
Final recommendations are based on professional judgement, client context and direct human engagement.
6. Responsible Simulations and Role-Play
AI-supported simulations may be used to help clients practise presentations, challenging questions and difficult professional conversations.
These exercises are designed to develop preparation, adaptability and communication skills.
- Simulated responses are treated as practice scenarios, not predictions of real people's behaviour.
- Real individuals are not unnecessarily identified or profiled.
- Sensitive scenarios are handled with appropriate discretion.
- Participants are informed when they are interacting with an AI-based simulation.
AI-supported exercises complement human coaching and feedback rather than replace them.
7. Recordings, Transcripts and Working Materials
Coaching sessions, interviews and simulations are not recorded or transcribed without an appropriate basis and prior notice.
Where recordings or transcripts are necessary, their purpose, access and retention arrangements are established in advance.
Client materials are retained only for legitimate professional, contractual or legal purposes and protected through appropriate organisational and technical measures.
Deletion requests are handled in accordance with applicable obligations and any relevant technical or legal retention requirements.
8. Intellectual Property and Client Ownership
Client strategies, confidential documents, proprietary information and original business materials remain subject to the client's existing rights.
Vortolo does not knowingly reuse confidential client materials for unrelated engagements or use them to train proprietary AI systems without appropriate authorisation.
Vortolo's pre-existing methods, frameworks and professional tools remain separate from client-owned materials unless otherwise agreed.
Ownership and permitted use of specific deliverables can be clarified in the engagement agreement.
9. Privacy, GDPR and European AI Regulation
Vortolo aims to conduct its activities in accordance with applicable data protection and AI regulations, including the EU General Data Protection Regulation and relevant provisions of the EU AI Act.
This includes considering lawful processing, transparency, data minimisation, security, individual rights and applicable AI-specific obligations.
Requests concerning personal information are handled in accordance with applicable legal requirements.
Regulatory requirements are reviewed as services and technologies evolve.
10. Choice, Consent and AI-Free Alternatives
Clients remain informed participants in how AI is used during their engagements.
Where consent is the applicable legal basis, it may be withdrawn in accordance with relevant legal requirements.
Clients may request that their confidential materials are not processed using external generative AI services.
AI-free coaching and consulting approaches remain available.
Any proposed use of sensitive information outside the agreed scope is discussed separately.
11. Continuous Review
Responsible AI practice is an ongoing professional obligation.
Vortolo periodically reviews its tools, safeguards and working methods, taking account of regulatory developments, technological change and client feedback.
The objective is not to adopt every new technology. It is to use appropriate technology in ways that genuinely benefit clients.

Our Promise
Human judgement. Client confidentiality. Responsible technology.
Vortolo combines experienced communication consulting with carefully selected AI capabilities.
We believe the best use of AI is not to automate trust, judgement or human connection, but to create more space for them.
Your information deserves careful handling. Your decisions deserve independent thinking. And your confidence in our work must always come before the technology used to support it.
Questions about confidentiality or AI use?
